RentalWise

Pillar 4

AI

Every rental software vendor now says “AI-powered,” and almost none of them will tell you which part of your week it changes. This is the independent read: where AI actually lands in the work, which platforms deliver it rather than claim it, and whether you can point AI at your own data at all.

The reference is free and it is kept current. When a vendor tells you their product does something with AI, this is the page to check it against.

Where AI lands in your week

Not a use-case list. The actual rental cycle, written down step by step, with an honest mark against each step where a machine can take work off it today. The steps with no mark are the point of the exercise.

17

a machine can run today

End to end, with you reviewing the output. Chasing a blank on the scorecard. Writing down the rental you had to turn away.

24

a machine prepares

It does the heavy part and you still decide. Reading a certificate of insurance. Comparing check-in photos against the check-out set.

29

are a person

And that is not a gap waiting on better technology. The handover of liability. The third-strike conversation. Deciding whether to restate a bad month.

Across 70 steps in 8 documented rental Processes. In 21 of them the step is both — a machine prepares it and a person still has to sign it off. That combination is most of rental, and it is the shape a serious AI plan takes.

Why marking the steps is the whole trick

“AI for rental” as a category is unanswerable. Should a machine read the certificate of insurance at step six of new customer setup? is a question with an answer, a cost and a person who owns it. The Process Library is where those questions become concrete, and it is why the AI read lives on the step rather than on a page of its own.

What a platform claims, and what we have checked

The page opens by saying every vendor now says “AI-powered.” This is what that sounds like.

Now with AI

Introducing RentalCore AI — the intelligent future of equipment rental.

RentalCore is proud to unveil our next-generation, AI-powered rental management platform. Our cutting-edge machine-learning engine leverages advanced algorithms to surface actionable insights across your entire operation.

Industry-leading. Enterprise-grade. Seamlessly integrated with the tools you already use. Robust, scalable, and built for the future of rental.

Ready to revolutionise your yard?

Marked — 15 phrases, 27 of 56 words, and not one claim you could check.

None of that is false. That is the difficulty — there is nothing in it to be false about.

It never says which step of your week changes, whether a person still signs the work off or the machine simply goes, or whether you could get your own numbers back out of it afterwards. Those are the three questions this page is organised around, and a demo booking is not an answer to any of them.

Every sentence above would enter this directory as an AI-Claim. Not one would come out AI-Verified — not because the vendor is wrong, but because there is nothing specific enough to check.

Almost nothing in rental software is inherently AI. A rate engine that moves with demand might be a model or a rules table; photo damage assessment might be computer vision or a person looking at two screens. So AI is not a category in this directory — it is a claim a platform makes about a specific capability, and a claim we can check.

AI-Claim

The vendor says this capability is AI-driven, or an operator who uses it says so. Free to add, and worth exactly what a claim is worth.

AI-Verified

RentalWise has looked. Only we can set this — no tier buys it, and a vendor cannot self-award it even with a crafted request. That is enforced in the database, not in a policy.

3 platforms claim 9 features as AI-driven.

None of them is verified yet, and the column stays empty until somebody checks. Verification is analyst work inside a Reviewed engagement — an empty column is a more honest page than a full one nobody checked. Until then these are claims, shown as claims, and browsing them is the useful thing.

The exception: capabilities that cannot exist without AI

A very short list, on purpose. Take the model away and there is no feature left — so these are tagged AI at the capability level rather than claimed platform by platform.

  • MCP Server → — A Model Context Protocol (MCP) endpoint that lets AI assistants connect to the platform and read or write rental data through a standard interface.

Can you point AI at your own data?

Every question above assumes your data is reachable. Often it is not. Can you get it out with AI directly — an MCP server or an API — or do you need the share-your-screen trick? And can you infer whatever you want from it, without paying to have a report built every time you have a question?

We audit two things separately, because they rarely match. Static data is your fleet, categories, rate tables and customers — what you have. Transactional data is contracts and their lines, invoices, movements and meter readings — what happened. Utilisation, dollar utilisation, DSO, margin by class and seasonality are all computed from the second one. A platform can export your fleet list beautifully and still leave you buying reports.

How to read this tableEvery row is read from that vendor’s own public documentation — what a prospective customer can find before they buy. Nothing here is a test result unless Basis says Verified, and no vendor has paid for a place in it.What the words mean

The scale — how far your data reaches

Least reach first. Both data columns use it.

  1. 1Report-only — No export and no API. Numbers come from vendor-built reports — you pay to ask a question.
  2. 2Screen only — The data is visible in the interface with no repeatable export. Reachable only by a screen-reading agent or copy-paste: it works, but it is brittle, low-volume, and breaks on the next redesign.
  3. 3Export only — A documented, repeatable export — scheduled job, file feed, ODBC or warehouse connector. You get answers, a day stale, and someone has to run the pull.
  4. 4API — gated — An API exists, but credentials require a sales conversation, an enterprise tier, or a partner agreement. You can get at your data — after a negotiation.
  5. 5API — self-serve — A documented API and you can issue your own credentials. Wire it up once and your data is reachable live.
  6. 6Direct (MCP) — The vendor ships an MCP server. Point an AI at it and ask questions in plain English — no integration to build.

+ API scheduleThis vendor publishes a readable schedule of API endpoints you can enumerate before you buy. That is a documented claim, not a demonstration — RentalWise has not yet confirmed the endpoints return data. A vendor can settle that with a scan. It sits beside the result rather than replacing it, because publishing a list is a claim and the result records what we could establish.

Basis — how we know

What the finding rests on, not how good the platform is.

  • Inferred — Reasoned from something adjacent — usually the ERP this platform is built on, which publishes its own documented API. Sound reasoning, but nobody has checked this vendor’s own documentation.
  • Audited — Read from the vendor’s own public documentation. This is the standard the free catalogue audit aims for.
  • Verified — Established by testing, or confirmed by the vendor with documentation. This is analyst work, not a desk check.

“Screen only” is not a claim that no interface exists. It means we could not find a published list of endpoints a customer could enumerate before buying — which is the position an operator is in too. A vendor who publishes one, or asks us to scan theirs, moves the row. 19 of the platforms below publish a schedule today, which shows beside their result.

Static — Screen only. The data is visible in the interface with no repeatable export. Reachable only by a screen-reading agent or copy-paste: it works, but it is brittle, low-volume, and breaks on the next redesign.

Basis — Audited. Read from the vendor’s own public documentation. This is the standard the free catalogue audit aims for.

+ API schedule. This vendor publishes a readable schedule of API endpoints you can enumerate before you buy. That is a documented claim, not a demonstration — RentalWise has not yet confirmed the endpoints return data. A vendor can settle that with a scan.

If this is not the whole picture, TapGoods can change it two ways: publish an endpoint schedule a prospective customer can read, or ask us to scan the API with read-only credentials, which is the only route to Verified. Either one is free and neither buys a better result — [email protected].

We report the furthest route we could confirm, not the only one. A platform reading Direct (MCP) almost certainly has a REST API underneath it, and that API is the route most integrations still get built against. So + API schedule marks a vendor who publishes an endpoint list you can read before you buy.

Which is why “Screen only + API schedule” is not a contradiction. The result records what we established a paying customer can actually reach. Publishing a schedule is a claim rather than a demonstration — plenty turn out to be partner-only, to omit the transactional half, or to describe a filter the endpoint quietly ignores. Until somebody scans it, the cautious answer is the honest one, and the chip tells you the claim exists. 19 of the platforms above publish a schedule; a vendor can settle the difference with a scan.

Audited from each vendor’s public documentation. The test is whether a paying customer can reach their data without a sales conversation — an API whose keys are assigned on request is gated, however good the docs are. Think we have one wrong? Send us the documentation and we’ll re-audit.

The top of the ladder is no longer empty

Renterra, RUX Software document an MCP server — the thing that lets an operator point Claude or ChatGPT straight at their own rental data and ask a question in plain English, with no integration to build and no report to commission. As recently as this summer nothing in equipment rental did.

Read from the documentation, not yet tested against data. That distinction is the Basis column, and it is the difference between a vendor describing an endpoint and an endpoint returning your contracts. It is settled by a scan, not by an announcement.

Artificial Intelligence Tools

A platform whose core product is an AI capability — built around it from the start, not a rental system that added AI later. Take the AI away and there is no product. These run alongside your core rental software, not in place of it.

What to do about it depends on your stage

Around 90% of AI projects fail, and it is almost never the model — it is that nobody checked whether the data was reachable, or whether the operation underneath could carry it. The same use case that pays for itself at one location is a distraction at three staff, and the reverse.

  • Stage 1–2Founder-led, growing team

Stop losing the after-hours rental, and write down the no.

At this size the win is not a model, it is capture. The call at seven on a Saturday morning exists nowhere unless something answered it, and the request you could not fill exists nowhere unless somebody wrote it down. Worth more than any optimisation at this stage — and the industry is starting to accept the first one, specifically for the hours when the alternative is a voicemail nobody returns.

Where it goes wrong. Where operators report losing customers is putting it on the front line during business hours — first thing the caller meets, when a person was available. That is a different decision from covering the hours you are shut, and it is the one that goes wrong.

Ties to: the Customer Quote process and the Missed Rentals measure.

  • Stage 3Scaling, one to two locations

Price to demand, and stop arguing about damage.

Now there is enough history to price against and enough volume that disputes cost real money. Demand-aware rates and automatic photo comparison at check-in both need a data trail you only have once the process is running consistently — which is why this is a Stage 3 conversation and not a Stage 1 one.

Ties to: Scale Readiness, and the check-out record that wins the dispute.

  • Stage 4–5Multi-location, or exit pending

Ask your own numbers a question and get an answer.

The constraint stops being the yard and becomes the reporting. Predictive maintenance on a fleet large enough to forecast, and plain-language access to your own data instead of a report queue, are what a buyer or a regional manager actually needs. Both depend on reach — which is the audit further down this page.

Ties to: Exit + Sale Readiness, and AI-Ready Data.

AI Readiness Assessment

Where AI realistically fits your operation today, what your data and stack can support, and the one or two use cases with the fastest payback. The honest read before you spend a dollar on tooling.

AI Implementation Sprint

Stand up the highest-ROI use case end to end — scoped, integrated with your stack, and measured against a baseline so you know it actually moved the number.

AI Operations Retainer

Ongoing tuning, new use cases as they prove out, and a check on the vendors selling you AI — so the investment compounds instead of stalling after launch.

Start with a readiness conversation

We map AI-Ready Data across your stack, not a catalogue listing: every piece of data the work you want would need, how you can actually reach it, and a straight verdict per job — build this now, build it with a bridge, let an agent draft and key it yourself, or not yet, and here is exactly what’s in the way. Blockers get named specifically — “your rate table is screen-only with no export” is a gate you can do something about; “your data isn’t ready” is not.

Software vendor with an AI capability?

Your platform may already be listed — operators can add what it does for free, and mark a capability as AI-driven. To claimthe listing and curate it yourself, with a verified vendor identity, is the Claim tier. The one thing no tier can buy is the check mark: an independent RentalWise read of what the capability actually does. In a market where everything says “AI-powered,” being the one that has been checked is the difference.
